Flexible Expiry for Smartsheet Forms
SmartSyncApp's Smart Form includes a flexible expiry feature that automatically deactivates the form link after a specified date and time. Once expired, users who open the link see a clear message that the form is no longer accepting submissions.
Why Expiry Matters
Time-sensitive data collection workflows, such as annual benefits enrollment, quarterly vendor reviews, or compliance certifications, have firm deadlines. Without automatic expiry, form administrators must remember to manually disable the form after the deadline, risking late or unauthorized submissions.
How It Works
During Smart Form setup, enable the expiry option and set the expiration date and time. SmartSyncApp stores this deadline and checks it each time the form is accessed. After the specified date, the form displays an expiry notice instead of the data entry fields. The form configuration and collected data remain intact; only new access is blocked.
Key Benefits
- Enforces submission deadlines without manual intervention.
- Prevents late submissions that could complicate downstream processes.
- Reduces security exposure by limiting the window during which the form link is active.
- Can be extended or modified at any time before or after expiry.
Example
HR sends a benefits enrollment form with a December 15 expiry date. Employees who open the link after December 15 see a message that enrollment is closed. HR does not need to remember to disable the form manually, and no late enrollments slip through.
