Edit Existing Smartsheet Rows via Web Form

SmartSyncApp's Smart Form is the only form tool that lets external users find and update existing rows in a Smartsheet sheet without needing direct sheet access. Native Smartsheet forms only support row creation, requiring separate workflows for data updates.

How It Works

When a user opens a Smart Form, they enter a reference value such as an Employee ID or Ticket Number. The form queries the Smartsheet sheet, finds the matching row, and loads the current cell values into the form fields. The user edits the fields and clicks submit. SmartSyncApp writes the changes directly to the corresponding cells in the matched row.

Key Benefits

  • Eliminates the need to share entire sheets with external stakeholders.
  • Prevents accidental edits to unrelated rows since users can only access their own row.
  • Reduces manual data entry for administrators who currently collect updates via email.
  • Maintains an audit trail in Smartsheet with cell history showing who changed what.

Example

A vendor management team needs suppliers to update their banking details quarterly. The master vendor sheet has a Vendor ID column. Smart Form lets each vendor enter their ID, review their current details, correct any outdated information, and submit. The vendor never sees other vendors' data or the rest of the sheet.

Recommended Workflow

  1. Ensure the reference column contains unique values for each row.
  2. Select only the fields that users should be able to edit.
  3. Enable data prefill so users can review their current data before making changes.
