General
SmartSync is a premium extension platform for Smartsheet. It provides a suite of powerful automation tools that fill gaps in native Smartsheet functionality - like updating existing rows via forms, syncing dropdowns across sheets, visualizing addresses on maps, and calculating work hours without complex formulas.
SmartSync uses Smartsheet's official OAuth2 authentication. When you connect, you log in directly to Smartsheet and authorize SmartSync. We never see or store your Smartsheet password.
No. SmartSync is a web application that works in any modern browser. Just sign up, connect your Smartsheet account, and start using the tools.
SmartSync works with all Smartsheet paid plans (Pro, Business, Enterprise). Some features may have limitations based on your Smartsheet plan's API access.
Most updates happen in real-time via webhooks, typically within 2-5 seconds of changes in your Smartsheet. Some complex operations may take slightly longer depending on data volume.
No. SmartSync follows a one-user-one-account policy. Each SmartSync account can connect to only one Smartsheet account. If you need to change your connected Smartsheet account, please contact support@smartsyncapp.com.
If a sheet you've configured is deleted in Smartsheet, the SmartSync configuration will show an error status. Your configuration settings are preserved, so if you restore the sheet, you can often resume without reconfiguration.
If your access to a sheet is reduced (e.g., from Editor to Viewer), some SmartSync features may stop working for that sheet. You'll see an error indicator on the affected configuration. Restoring proper permissions will resume normal operation.
SmartSync will detect the missing column and mark the configuration with an error. You'll need to update the configuration to map to a different column or recreate the deleted column.
No. SmartSync is an independent product built on top of Smartsheet's public API. We are not affiliated with, endorsed by, or partnered with Smartsheet Inc.
Security & Privacy
No, never. SmartSync uses OAuth2 authentication, which means you log in directly to Smartsheet. We receive a secure token to access your data, but we never see, receive, or store your Smartsheet password.
All data is encrypted in transit using HTTPS/TLS. We process your Smartsheet data in real-time to perform automations but do not store your actual sheet content long-term. OAuth tokens are encrypted at rest in our database.
Yes, anytime. You can revoke SmartSync's access directly from your Smartsheet account settings (Account > Personal Settings > API Access). Once revoked, SmartSync immediately loses access to your sheets.
Yes. SmartSync logs all sync operations, including timestamps and success/failure status. You can also check Smartsheet's native Activity Log to see changes made by 'SmartSync' or your connected service account.
We store: your email, account settings, tool configurations (sheet IDs, column mappings), and OAuth tokens. We do NOT store the actual content of your Smartsheet data - we process it in real-time.
No. SmartSync only requests permissions to read and update sheet data. We cannot delete sheets, workspaces, or your Smartsheet account.
Your data in Smartsheet remains completely untouched. Only your SmartSync configurations are removed. You retain full ownership of all your Smartsheet data.

Yes. Our security has been verified by multiple independent third parties: <strong>SSL Labs</strong> (Grade A encryption rating), <strong>Google Safe Browsing</strong> (clean status, no malware or phishing), <strong>VirusTotal</strong> (93/94 vendors confirm clean, 99% clean rate), and <strong>blacklist databases</strong> (not listed on any of 61 databases checked). SmartSync uses <strong>TLS 1.3 encryption</strong>, the current industry standard, with a Grade A rating from SSL Labs. All data transmitted between your browser and our servers is encrypted using valid and trusted certificates. Tools - General
All our tools work independently. You can use as many as you need simultaneously. There's no limit on the number of configurations you can create (during beta).
Yes! This is exactly what Smart Forms does. Unlike native Smartsheet forms that only create new rows, Smart Forms can look up an existing row by a reference ID and update it.
Yes. Smart Forms has a 'Prefill' feature that loads existing data into the form fields before the user makes changes. This helps users verify and update only what needs changing.
Yes! Smart Forms and GeoMap generate public links that anyone can access. Recipients don't need a Smartsheet account to submit forms or view maps. However, the underlying data is still securely stored in your Smartsheet.
Most Smartsheet column types are supported including Text/Number, Dropdown, Date, Contact, Checkbox, and more. Some specialized column types may have limitations - check individual tool documentation for specifics.
Tools - Smart Forms & Camera Form
Native Smartsheet forms can ONLY create new rows. <a href="/tools/smart-forms" class="text-primary underline">Smart Forms</a> can UPDATE existing rows by looking up a reference ID. This prevents duplicate entries and enables true data editing via forms.
For photo uploads, use <a href="/tools/camera-form" class="text-primary underline">Camera Form</a>, specifically designed for this purpose. It supports photo capture with options to save as cell image or attachment.
<a href="/tools/camera-form" class="text-primary underline">Camera Form</a> is mobile-optimized specifically for photo capture. It takes 2 taps vs 6-8 taps in native Smartsheet, and can save photos directly visible in grid cells (not just hidden attachments).
Yes. When configuring <a href="/tools/smart-forms" class="text-primary underline">Smart Forms</a> or <a href="/tools/camera-form" class="text-primary underline">Camera Form</a>, you can mark specific fields as required. Users cannot submit until all required fields are completed.
Tools - Task Forms
Task Forms understand Smartsheet hierarchy. When you submit data, it creates a child row under your selected parent - maintaining the project structure. Native forms only add flat rows at the bottom.
Task Forms uses the Primary Column (the first column in your sheet) to identify parent-child relationships, just like Smartsheet's native hierarchy system.
Tools - TriggerFlow & TriggerMatrix
<a href="/tools/triggerflow" class="text-primary underline">TriggerFlow</a> syncs ONE column between sheets when a condition is met. <a href="/tools/triggermatrix" class="text-primary underline">TriggerMatrix</a> syncs MULTIPLE columns. Use TriggerFlow for simple syncs, TriggerMatrix for complex multi-field updates.
Yes, as long as you have appropriate access permissions to both sheets, you can sync data across different workspaces.
SmartSync logs errors to a designated error column (if configured) and marks the configuration with a warning. You can review failed syncs and troubleshoot from the dashboard.
Tools - Working-Time Engine & Time Sheet Tool
Yes! Working-Time Engine has built-in overnight shift support. If you clock in at 10 PM and out at 6 AM, it correctly calculates 8 hours instead of showing a negative value.
Multiple formats including 12-hour (9:00 AM), 24-hour (09:00), and various text formats. The engine intelligently parses common time entry patterns.
Time Sheet Tool uses a validated time picker instead of free text. Users can only select times in your chosen format (12h or 24h), eliminating '7:30' vs '7:30 AM' vs '730' inconsistencies.
Tools - GeoMap
GeoMap generates a public shareable link. Anyone with the link can view the map, even without a Smartsheet account. The map displays only the data you've configured (name, status, notes) - not your entire sheet.
GeoMap uses a multi-stage geocoding engine (Nominatim, LocationIQ) with intelligent address parsing. Most standard addresses geocode accurately. Very unusual or incomplete addresses may require manual verification.
Yes! Click any two pins on the map to see the road route and distance between them. This is useful for field service planning and delivery routing.
Yes. Pins are color-coded based on your Status column. Blue = Active/Yes/Available. Grey = Inactive/No/Unavailable. This gives instant visual status across all locations.
Tools - Dynamic Dropdown
Smartsheet recently added linked dropdowns. SmartSync Dynamic Dropdown adds filtering (show only items matching criteria) and sorting (alphabetical) options that native linked dropdowns don't offer.
Yes! Create multiple configurations from the same source column to sync dropdowns across as many destination sheets as needed.

Yes. Contact support@smartsyncapp.com to request account deletion. Your Smartsheet data is never affected.
