Reference Field Lookup for Camera Form

Camera Form uses a reference field to identify which Smartsheet row the captured photo should be attached to. Users enter a unique identifier such as Equipment ID, Room Number, or Employee ID, and the form matches it to the correct row before uploading the image. This ensures every photo is linked to the right record without manual matching or navigation.

How It Works

During setup, select the column that contains unique identifiers for each row. When a user opens the Camera Form and enters a reference value, SmartSyncApp performs an exact-match lookup against the sheet. If the value matches a row, the form proceeds to photo capture. If no match is found, the user receives a clear error message and can retry with a corrected value.

Supported Column Types

  • Text columns (Asset ID, Room Number, Location Code)
  • Number columns (Employee Number, Work Order #)
  • Auto-number columns (system-generated identifiers)

Key Benefits

  • Photos are guaranteed to attach to the correct record — no manual row-hunting in a 500-row sheet.
  • Field workers only need to know their reference ID, not how to navigate Smartsheet.
  • Exact-match prevents ambiguous attachments when similar IDs exist (e.g., "PUMP-01" vs "PUMP-011").
  • Works with any text or number column type in your Smartsheet.
