Can I upload multiple photos to the same row?

The ability to associate multiple photos with a single Smartsheet record is a core requirement for comprehensive field documentation. Whether you are performing a safety inspection that requires "Before" and "After" photos, or a site audit needing 360-degree coverage, Camera Form provides flexible architecture to support these workflows.

Attachment Mode: Multi-Photo Stacks

When "Attachment Mode" is enabled, every submission made via the Camera Form adds a new file to the row's attachment panel. This allows you to "stack" an unlimited number of photos against a single row over the lifetime of a project or asset.

  • Historical Archiving: Build a timeline of visual evidence for a specific asset (e.g., quarterly maintenance photos).
  • Sequential Documentation: Multiple field workers can contribute photos to the same row independently using the same Reference ID.

In-Cell Mode: Current State Only

In-Cell image columns in Smartsheet are designed to hold exactly one primary image at a time. When using In-Cell mode, each new submission via the Camera Form will overwrite the existing image in that specific cell.

Expert Tip: This is best used for "Current Condition" status fields where you only need to see the latest photo on a dashboard or report. For historical tracking, we recommend using both attachment mode and in-cell mode simultaneously.

Designing for Scale: Smartsheet Limits

While SmartSyncApp can handle high volumes, it is important to be aware of Smartsheet's native row limits to maintain peak performance:

  • Row Attachment Limit: Smartsheet supports hundreds of attachments per row, but performance may begin to degrade if a single row exceeds 250+ individual file attachments.
  • Sheet Attachment Total: A single sheet can support thousands of attachments, but for massive data collection efforts (e.g., 10,000+ photos), we recommend auto-archiving or using multiple destination sheets.

Workflow Design Patterns

For industrial-scale photo collection, industry experts typically follow one of two patterns:

  1. One Row per Event: Create a new row for every inspection. This is the cleanest for reporting.
  2. Master Row Updates: Use a single Asset Row and update it periodically. This is best for "Current State" dashboards.
