Cross-Sheet Synchronization for Smartsheet Dropdowns

Cross-Sheet Synchronization is the core capability of SmartSyncApp's Dynamic Dropdown. It lets you designate a single source column as the master list and map it to one or many destination columns across different Smartsheet sheets, workspaces, or even shared external sheets.

Why Cross-Sheet Sync Matters

Without cross-sheet synchronization, teams resort to manually copying dropdown values between sheets. A product catalog with 200 SKUs feeding five order forms means maintaining 1,000 individual dropdown entries by hand. When a single SKU changes, every sheet must be updated separately. Cross-Sheet Sync eliminates this entirely by treating the source column as the single source of truth.

How It Works

SmartSyncApp reads the source column values, deduplicates them if enabled, applies any filters or sorting rules, and writes the resulting list to the destination column's dropdown options. A webhook monitors the source sheet for changes and triggers an update automatically.

Example

A retail company maps a Product SKU column in their master catalog to order forms used by sales teams in three regions. When a new product is added to the catalog, all three regional order forms immediately show the new SKU. When a product is discontinued, it disappears from all forms without anyone touching them.

Recommended Workflow

1. Create a master list sheet with a unique identifier column (such as Product ID or Employee ID).
2. Enable deduplication in the Dynamic Dropdown settings to prevent duplicate options.
3. Map the source column to each destination column and run a test by adding a sample row to the source.
