Use Case
Product Catalog Management with Task Forms
The Problem
Product catalogs in Smartsheet use category parent rows (Electronics, Furniture, Clothing) with individual products as child rows beneath them. When merchandising teams add new products through native forms, every entry lands at the sheet bottom without category assignment. Manually reorganizing products into the correct category tier is time-consuming and error-prone.
The Solution
Task Forms lets merchandising teams select the product category from a reference dropdown and submit new product details. The product row is created as a child under the selected category, maintaining catalog structure automatically.
Step-by-Step Implementation
- Organize the product catalog with categories as parent rows and a Category Name column.
- Create the Task Forms with Category Name as the reference field.
- Define fields: Product Name, SKU, Price, Status, Description, Supplier.
- Share the form link with the merchandising team.
Expected Outcome
- New products appear under the correct category immediately.
- Category-level metrics such as item count, average price, and inventory value roll up correctly.
- Catalog structure remains clean for reporting and downstream integrations.
