Use Case

Event Planning Task Submission with Task Forms

The Problem

Event planning teams organize activities in Smartsheet with categories like Venue, Catering, Marketing, Logistics, and Entertainment as parent rows and specific tasks as children. Multiple team members need to add tasks to their assigned categories, but native forms create rows without hierarchy, resulting in a disorganized flat list that requires manual restructuring.

The Solution

Task Forms lets each team member select their activity category and submit tasks directly into the correct position in the event plan. The hierarchy stays organized, and category-level progress, budget, and timeline rollups remain accurate.

Step-by-Step Implementation

  1. Create the event plan sheet with activity categories as parent rows.
  2. Set up Task Forms with the Category column as the reference field.
  3. Define fields: Task Name, Assignee, Deadline, Budget Estimate, Notes, and Priority.
  4. Share the form link with the event planning committee.
  5. Set an expiry date aligned with the planning finalization deadline.

Expected Outcome

  • Tasks land under the correct activity category without manual sorting.
  • Category-level budget totals and timeline calculations stay accurate.
  • The event coordinator has a clear, organized view of all activities at all times.
  • Planning committee members can contribute independently without sheet access.
