Use Case

Customer Success Self-Service Updates

The Problem

Customer success teams track client details in Smartsheet but need clients to update their own information periodically: primary contacts, billing preferences, project priorities, and satisfaction scores. Asking clients to email these updates results in delays, formatting inconsistencies, and administrative overhead. Sharing the Smartsheet directly exposes internal data and creates permission management complexity.

The Solution

Smart Form lets you create a client-facing update portal where each client enters their Account ID, sees their current data prefilled, and updates relevant fields. SmartSyncApp enables client self-service without exposing the underlying Smartsheet.

Step-by-Step Implementation

  1. Prepare the client tracker sheet with a unique Account ID column and editable fields such as Primary Contact, Phone, Billing Address, and Priority Level.
  2. Create a Smart Form and select Account ID as the reference field.
  3. Select which fields clients should see and edit. Hide internal-only columns like Health Score or internal notes.
  4. Enable prefill so clients see their current data.
  5. Share personalized links with each client or publish a single link where clients enter their Account ID.

Expected Outcome

  • Client data stays current without manual follow-up from the CS team.
  • Clients can update details at their convenience on any device.
  • Internal-only data remains hidden, maintaining data governance.
  • Reduced email volume and administrative time for the CS team.

Quick Checklist

  • Account ID column is unique and shared with clients
  • Internal columns excluded from form
  • Prefill enabled
  • Mobile-responsive verified
