Can I use Smart Form to create new rows?
Smart Form is specifically designed for editing existing rows in Smartsheet. It uses a reference field to look up and update rows that already exist. If you need to create entirely new records, we recommend different approaches depending on your needs.
The "Update-Only" Implementation Strategy:
The core strength of Smart Forms is its ability to prevent duplicate data entry errors. By focusing exclusively on updating existing records, SmartSyncApp solves one of the most common complaints with Smartsheet's native forms: the "Orphan Row" problem, where users submit new data that should have been an update to an existing project or record. By enforcing a lookup-first workflow, you ensure that every submission from an external contractor or client is intentional and correctly mapped to a pre-authorized record in your sheet. This maintains a clean, single-source-of-truth structure across your entire workspace.
Combining Tools for the Full Data Lifecycle:
To support workflows that require both creation and subsequent updates, we recommend a "Hybrid" model. Use Smartsheet's native forms (or our specialized Task Forms) for the initial intake or registration phase where a new row is first created. Once that row exists with a unique identifier (like an Order ID or Employee ID), you can then distribute a Smart Form link to the relevant stakeholders for all subsequent updates. This creates a logical workflow where the birth of a record is handled by one interface and its long-term lifecycle is managed via a secure, prefill-enabled Smart Form.
Strategic Advantages for Data Quality:
Because Smart Forms cannot create new rows, they act as a natural gatekeeper for your sheet capacity. You won't find your spreadsheets cluttered with blank rows, test submissions, or fragmented records. For large-scale operations like vendor management or HR self-service, this design philosophy ensures that your automation triggers and summary reports are always accurate, as they are based on a stable set of rows rather than a constantly shifting list of new submissions. This structural stability is key to building reliable, enterprise-grade Smartsheet solutions.
