Troubleshooting: Resolving Submission & API Failures

A "Failed Submission" is a critical event when dealing with labor data. Follow these steps to diagnose why your entry isn't reaching your Smartsheet.

Root Cause 1: Smartsheet API Rate Limiting

If your organization is submitting hundreds of rows simultaneously (e.g., at exactly 5:00 PM for a large crew), you may hit the Smartsheet API rate limit.

  • Identification: The form shows a "Network Error" or "Server Busy" message.
  • Resolution: The tool has built-in Intelligent Retries. Wait 10 seconds and try again. For future high-volume events, consider splitting users across multiple sheets to increase your total API throughput.

Root Cause 2: Column Type Mismatch

If you've changed your Smartsheet column type (e.g., from "Text/Number" to "Date") after the tool was configured, the API write will fail.

  • Resolution: Go to the Time Sheet Tool dashboard and click "Refresh Column Mapping." The system will detect the new column rules and suggest the correct data transformation to ensure a successful write.

Root Cause 3: Sheet Row Limits

Smartsheet has a hard limit of 20,000 rows (or 5,000 for some legacy plans).

  • Identification: The tool will return an "Internal Sheet Error (Row Limit reached)."
  • Solution: Use our Echo Deployer to spin up a new "Archive Sheet" and point the tool to the new destination. Always keep an eye on your sheet's "Remaining Row" count in your Smartsheet properties.
