This template provides a ready-to-use Smartsheet sheet layout optimized for SmartSyncApp's Dynamic Dropdown. Copy this column structure to create your master source sheet and begin mapping dropdown values to destination sheets immediately.
Recommended Column Layout

Mapping Example
- Source: Map the Name column to destination dropdown columns across your Smartsheet workspace.
- Filter: Status = Active (excludes inactive entries from destination dropdowns).
- Sort: SortOrder ascending (most important or most frequently used entries appear first).
- Deduplication: Enabled (prevents duplicate values if multiple source rows share a name).
Quick Start Checklist
- Create a new Smartsheet sheet or copy this template structure into an existing sheet.
- Add a unique ID for each row. This ID is not displayed in the dropdown but helps with data management, auditing, and deduplication.
- Populate the Name column with all values you want available as dropdown options.
- Set the Status column to Active for values that should appear in dropdowns; set to Inactive for values that should be hidden.
- Optionally fill the SortOrder column to control display order (lower numbers appear first).
- Open Dynamic Dropdown in SmartSyncApp, select this sheet as the source, choose the Name column, and map to your destination columns.
- Apply the Status = Active filter and enable deduplication.
- Activate and verify with a test row.
Best Practices for Long-Term Success
- Keep the master sheet focused. Avoid adding unrelated data columns to the source sheet. A clean, single-purpose source sheet performs better and is easier to maintain.
- Use consistent ID formatting such as a prefix-plus-number pattern (EMP-001, SKU-445) for clarity and uniqueness.
- Review the master list quarterly to archive outdated entries by changing their Status to Inactive rather than deleting rows.
- Document the mapping so new administrators understand which source feeds which destinations.
