Technical Setup & Deployment Guide
Getting started with Echo Deployer is a streamlined three-step process designed to move you from manual setup to full automation in under an hour. This guide covers the initial configuration needed to connect your Smartsheet environment to the SmartSyncApp deployment engine.
Step 1: Authenticate & Select the Master Template
First, log in to the SmartSyncApp dashboard and navigate to the **Echo Deployer** section. You will be prompted to provide a Smartsheet API token (from a dedicated Service Account is recommended). Once authenticated, use the workspace browser to select the **Master Folder or Workspace** you want to use as your deployment blueprint. This folder should contain all the sheets, reports, and dashboards that constitute a standard project environment.
Step 2: Map Your Dynamic Variables
Identifying the "Data Bridge" is the most powerful part of the setup. Define which parts of your file names should be dynamic.
- Placeholder Syntax: Use brackets in your Smartsheet file names within the master template (e.g.,
[ProjectID] - Project Schedule). - Data Source: Choose your intake source (a specific Smartsheet "Project Registry" intake sheet is the industry standard).
- Match Columns: In the Echo Deployer dashboard, map your "Placeholders" to the corresponding columns on your intake sheet. For example, map
[ProjectID]to the "Project Number" column.
Step 3: Define Your Trigger & Sharing Logic
Finally, decide how the deployment should start.
- Automated Trigger: Recommended. Set the tool to "Watch" a column on your intake sheet (e.g., "Deploy Project?"). When the value changes to "Yes," the deployment kicks off automatically.
- Permission Mirroring: Toggle the "Share with Master Users" setting to ensure your central PMO and admin teams are automatically granted access to every new project folder with their correct permission levels (Admin, Editor, or Viewer).
- Destination Path: Select the parent folder or workspace where all new project deployments should be created (e.g., the "Active Project Clients" folder).
Step 4: Trigger Configuration
Choose your deployment method:
- Manual: Trigger deployments by selecting a row from the dashboard list.
- Automated (Webhook): Generate a unique Webhook URL in SmartSyncApp and paste it into the Smartsheet 'Automation' panel. Set the trigger to fire whenever a row's 'Status' changes to 'Approved'.
Step 5: Testing & Validating
Always perform a **Pilot Deployment**. Trigger a test project, wait for the deployment completion email, and then enter the new workspace. Verify that the Dashboard charts are pulling from the *new* sheets and that sharing settings are correct. Once validated, you are ready for full enterprise rollout.
Success Checklist for New Users
- Run a **Test Deployment** with a "dummy" project name to verify that all cross-sheet links are re-wiring correctly.
- Perform a **Sharing Audit** on the test deployment to ensure the correct internal teams have access.
- Check the **Deployment Logs** in the dashboard to confirm the API credits are within a healthy range for your Smartsheet plan.
Industrial SME Insight: Version Control for Blueprints
As your business processes evolve, you will inevitably need to update your Master Template. We recommend a "Durable Setup" strategy: when updating a blueprint, always work on a Sandbox Copy of your master. Once the changes are validated, simply update the "Target Folder" in your Echo Deployer configuration. This prevents you from accidentally deploying a "Work in Progress" template to a live client intake sheet, ensuring your production pipeline remains uninterrupted.
